Minutes of 17 December 2009 Eastside Friends of Music Board Meeting
EFM President Tom Ginn called the meeting to order at 7:02 p.m.
Those in attendance: Arlene Burney; Sean Millard; Tom Ginn, EFM President; Teresa Fisher, Bingo co-chair; Janice Cameron, Bingo co-chair; Sandi Halpin, EFM Treasurer; Dave Johnson.
Treasurer’s report: Average bingo attendance is down from about 70 per week last year to about 60 per week this year resulting in less bingo income to EFM. We had good income from the fireworks sales. The board reviewed the profit and loss statement, and transactions since the September board meeting. Details are available from the treasurer. The board approved the treasurer’s report.
Bingo report: Attendance is down from last year. We’ve added a few new games, and they have been well-received by the players. Janice will distribute a flyer about bingo to the new apartments across the street, since the people living there may not know about Saturday night bingo.
The board approved the minutes from the September 2009 EFM meeting. Tom will send the minutes from the June 2009 board meeting to Dave.
Because of budget reductions, the school district is only paying for eight music sections, even though there are enough students in music programs to fund nine sections. Therefore last spring, the board approved for one time only to pay for the ninth section at a cost of $15260. $10000 would come from parcel tax funds that would normally pay for band expenses, such as music and instruments, and EFM would pay the remaining $5260. The board confirmed this agreement in a letter to the district. This week EFM received a bill for $7187.15, which is $1927 more than we had agreed to. Tom will contact Steve Bolman to get this straightened out.
There has been no progress since the last meeting regarding fixing the acoustic problems in the band room Tom will discuss this with Steve Bolman.
The board discussed getting a part-time secretary to help with the large amount of administrative work for the bands. This would be a maximum of ten hours per week. The board approved moving forward with this idea and will work out the details, targeting the end of January 2010 to get a proposal for approval.
The board received a letter from the IRS that EFM’s five-year designation as a charity had expired. Tom will file the required tax returns and other forms to get EFM reinstated as a charity.
The next EFM board meeting will be Thursday, 6 May 2010 at 7:00 p.m.
